Attachments and Storage

Work items carry files: the screenshot that shows the problem, the invoice under dispute, the signed form. Those files take real disk, so there is a limit on them — and, unlike most limits, this one you can see before you reach it.

Neither is set inside Desk Center. The account's total belongs to whoever carries the disk, which is why the storage page reports it and offers nothing to change — a control there would let an account raise its own ceiling. If you are the one providing the service, see For Providers.

You are warned before the wall

Once the account passes 80 % of its total, a notice appears across the top of Desk Center for administrators. At 100 % it turns red and uploads start being refused.

Only administrators see it

An agent told the account is at 90 % can do nothing about it. The notice goes to the people who can: delete files, or ask for a larger limit.

The screen lists closed work that still has files, oldest first, one board at a time, with every file's own size.

Oldest closed rather than biggest is deliberate. Sorting by size puts the largest file on an open ticket at the top, which is how somebody deletes the one document they still needed. Work closed months ago is what nobody will miss.

Two ways to clear:

  • One file at a time — the × beside any file.
  • A whole window at once — Remove all of these, for everything closed more than a year, six months or three months ago, or before a date you type.

The bulk action asks you to confirm a sentence that names exactly what will go: how many files, how much space, and from work closed when.

Files cannot be recovered

The work items stay, and each keeps the note saying a file was attached — so the history still says what arrived and when. The file itself is gone.

Why the shortest window is three months

So that nobody picks the most aggressive setting available by accident. Deployments also set a floor — typically 31 days — below which nothing can be deleted at all, whatever date you type.

Automatic clean-up

The same clean-up can also run without anybody asking. It deletes files on work that closed longer ago than a retention window — so an account that has decided how long it keeps evidence never has to think about this screen again.

Nothing is deleted until somebody says a number. No window is assumed: an account with no retention set keeps its files until somebody clears them by hand. The window is set by whoever provides your service, and your own administrator may choose to delete sooner — never later. Below the deployment's floor, typically 31 days, nothing is deleted whatever is asked for.

What it removes is the file. The work item stays, and so does the note saying a file was attached.

Where the files are kept

Today, on the same cluster as the rest of your QVOICE Platform service. Support for keeping them in your own storage — the way call recordings can be — is planned; the screens that list and download a file will not change when it arrives.
